POSITION SUMMARY
This is administrative secretarial/clerical work for the Court Administrator. Duties include document preparation and processing as well as receptionist duties in support of the Court Administrator. Work includes general clerical duties for the department, serving as liaison to the public for the Court Administrator, coordinating, preparing, processing and filing office and court documents, posting and checking information, providing guidance, direction and work schedule coordination to office staff, and performing secretarial and other office related duties as requested by the Administrator. Provides assistance to various programs.

MAJOR DUTIES AND RESPONSIBILITIES include the following:
Serves as liaison to the public and members of the Court Administrator’s Office; duties involve handling inquiries, complaints or problems directly based upon instruction from the Court Administrator or on departmental policies and procedures. Other duties may be assigned.

Performs various duties for the Court Administrator, such as establishing and maintaining personnel files; working with highly sensitive and confidential information; greeting and providing direction to persons coming into the office seeking assistance; serving on various Boards and Councils as requested by the Court Administrator; maintaining office equipment, calling for repair when necessary; keeping updated inventory of supplies; schedule and calendar reservation of various rooms and spaces within the Justice Center; and creating and maintaining spreadsheets to aid in tracking and reporting.

Serves as secretary to the Court Administrator; duties include opening and sorting mail; handling both written and oral incoming and outgoing correspondence; answering busy phones; creating and typing memos, correspondence and documents for signature; scheduling, monitoring and maintaining appointments for Court Administrator, including travel reservations.

Provides assistance and direction to department stakeholders based on instruction from the Court Administrator or department policies and procedures.

Requirements

Education and Experience
High school education or equivalent
Must pass Criminal History Background Check
Two years’ experience performing related secretarial and/or clerical work

Advanced skills in MS Word, and Outlook.
Intermediate skills in MS Excel and PowerPoint.
Any combination of education, training and experience that provides the required knowledge and skills is acceptable.

Knowledge, Skills and Abilities
Knowledge of department policies and procedures.
Knowledge of modern office practices, procedures, equipment, and computers.
Knowledge of MS Office, including Word, Outlook, Excel, Access and PowerPoint.
Strong communication skills both oral and written.
Advanced skills in MS Word, and Outlook.
Intermediate skills in MS Excel and PowerPoint.
Ability to resolve both routine and complex technical, administrative and customer service problems in
the department.
Ability to work with the public courteously and effectively under stressful circumstances.
Ability to coordinate, organize and manage multiple projects and assignments.
Ability to establish and maintain effective working relationships with county employees, county
officials and the general public.
Ability to apply basic accounting principles in receipting payments and applying toward account.

DESIRABLE QUALIFICATIONS
Education and Experience
Four years of experience performing related secretarial and clerical work.
Prior experience in or around the Justice (Court) System
Bi-lingual (Spanish)
