Job Description

Administrative coordinators work in multiple administrative roles within the company. Primary areas of focus are to provide administrative support for project teams as well as clerical and front desk duties. Additional responsibilities include phone/inquiry management, and general clerical support of the FMGI Divisional Office. The administrative coordinator exhibits high standards, excellent communication skills, and prioritizes daily tasks.

 

RESPONSIBILITIES:
• Sign up new employees for software and subscription services used by FMGI.
• Manage and track inventory of apparel and office supplies, ensuring adequate stock levels.
• Collect and track the Asset information for high value tools/ supplies
• Maintain an up-to-date and organized employee directory.
• Act as the main point of contact for the office, handling inquiries and providing assistance as needed.
• Create shipping labels and coordinate shipping and receiving tasks.
• Work with and assist project coordinator active job tasks.

Requirements

REQUIREMENTS:
• High school diploma or equivalent.
• Proven experience as an administrative assistant or in a similar role within the construction or contracting industry.
• Proficiency in basic computer use and ability to quickly adapt to new software and applications.
• Strong organizational skills and the ability to multitask effectively to meet tight deadlines.
• Excellent communication and interpersonal skills, with the ability to interact professionally with employees at all levels and external contacts.
• Familiarity with construction permits, regulations, and documentation is a bonus.
• Detail-oriented mindset to manage inventory, receipts, and expenses accurately.

 

SKILLS:
• Proficiency in Microsoft Excel, Word, and Outlook.
• Excellent verbal and written communication skills.
• Strong organizational and time-management abilities.
• Detail-oriented with a focus on accuracy.
• Adaptability and willingness to learn new software and tools.
• Ability to work well both independently and as part of the team.
• Excellent interpersonal skills for effective collaboration with FMGI colleagues and external contacts.
